Position Overview:
General Fusion is seeking an energetic and talented Office Coordinator / Administrative Assistant for our new Richmond Office Location at Lysander Lane.
In this role you will be an integral part of General Fusion as you interact with employees, consultants, partners, vendors, visitors, and the general public. (Please note, this role has the opportunity to go FT towards the end of the year.)
This role will report to the Sr. Executive Assistant and will consist of, but not be limited to, the following:
General Fusion is looking for someone to: - co-ordinate and administer the office day-to-day, ensuring everything runs smoothly
- organize and maintain the office including reception, meeting rooms, and common areas
- welcome and assist visitors
- answer incoming calls and then transfer the calls to the appropriate people
- schedule meetings and book meeting resources
- set up and tear down boardroom meetings
- co-ordinate catering and other planning for special events
- set up, manage, and administer the office supply room, including inventory
- set up, manage, and administer the kitchenette, including supplies and equipment
- assist booking travel and accommodation
- assist putting expense reports together
- assist with general administrative duties including scanning, photocopying, faxing, mailing, administering records, maintaining spreadsheets, and maintaining employee directories
- decorate the new office, including plants
- keep those plants alive
- co-ordinate and administer other ad hoc projects
General Fusion is looking for someone who: - has relevant experience coordinating offices that are professional, fast-paced, and entrepreneurial
- has exceptional interpersonal and communication skills, both verbal and written
- can multi-task with competing priorities and demands (because they have strong organizational, time management, and prioritization skills)
- is passionate about details
- can work independently with minimal oversight
- can communicate effectively across an entire organization
- is proficient in the Microsoft Office suite of applications, including Outlook, Word, Excel, PowerPoint
- but who can also use information technology outside of Microsoft Office
- can help plug in, reboot, and troubleshoot electronics from time to time
- is reliable, dedicated, self-motivated and adaptable
- enjoys learning and challenging themselves
A diploma or other formal education in business administration is an asset.
